Functionality
- RelayPatrol analyses server logs and stores the data structurally. Although we try our best to provide you with the most accurate information and data, we do not warrant the information as being 100% accurate. We rely on 3rd party vendors (and ISP's) to provide information like locations of IP's which may not always be accurate.
- RelayPatrol notifies you and users assigned to each domain about potential security incidents which you as the owner have full access to. It is the responsibility of the domain owner, administrator, manager or user to ensure they act upon the notices sent by RelayPatrol. We do not have access nor do we make changes to individual mail accounts on their host servers. Tasks like notifying your email provider of potential security issues, changing of passwords or further investigation of potential issues is completely the responsibility of the domain owner and associated team.
Data
- RelayPatrol collects data as is from your hosting server, provided by your ISP or email provider. Data is collected "as is" from your hosting provider.
- RelayPatrol makes use of 3rd party vendors for IP address data, which in return relies on the data provided by the IP’s ISP’s. Accuracy of such data is 100% dependent on the data provided by the IP ISP.
- RelayPatrol does not monitor or have access to the contents of any emails sent or receive, nor do we warehouse data associated to the contents of your communications. A list of data we store are:

- Type of connection made (such as incoming, POP, IMAP, SMTP, webmail access etc)
- IP Address which made the connection along with data provided by a 3rd party vendor about the IP Address
- Email address which made the connection
- Domain name which the email address belongs to
- When emails are sent, we store the device name which connected to your SMTP server.
- RelayPatrol keeps all associated data for 30 days. After 30 days all logs are deleted along with the original logs when imported.
Notifications
- At core, RelayPatrol relies on providing you with notices of incidents which you as the domain owner can manage for each subscribed domain. Each user subscribed under a domain will get security notices and incidents categorized either as a critical incident which will send you the incident notice each 3 hours or as a suspicious incident which will only be sent to you and your team once.
- It is up to the domain owner or administrators to ensure they have the correct email addresses assigned for each user. RelayPatrol does not take responsibility for domain owners not getting notices sent to their mailboxes.
- You give RelayPatrol authorization to send you such notices.
- You give RelayPatrol authorization to send you notifications on system updates, new features and associated security information which may or may not be related to your specific domain but industry related information.
Subscription
- RelayPatrol is a subscription-based service that is activated on a "per domain" basis. When a domain subscription is enabled, the domain has access to log in and manage that particular domain by adding additional users, setting security preferences and managing security parameters and configuration of individual mailboxes. RelayPatrol will, once a day, collect logs for each active domain and report on security incidents based on the domain and mailbox configuration configured by the domain owner or administrator.
- When the subscription is suspended or terminated, either by the domain owner or associated ISP, the domain owner will no longer have access to the data within RelayPatrol and we will also not send any further notices about the domain.
- RelayPatrol requires a calendar months' notice for termination of services. If you wish to terminate your RelayPatrol service, contact your ISP to initiate the cancellation.
General Information
We collect the e-mail addresses of those who communicate with us via e-mail, aggregate information on what pages consumers access or visit, and information volunteered by the consumer (such as survey information and/or site registrations). The information we collect is used to improve the content of our Web pages and the quality of our service, and is not shared with or sold to other organizations for commercial purposes, except to provide products or services you’ve requested, when we have your permission, or under the following circumstances:
- It is necessary to share information in order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of Terms of Service, or as otherwise required by law.
- We transfer information about you if RelayPatrol is acquired by or merged with another company. In this event, RelayPatrol will notify you before information about you is transferred and becomes subject to a different privacy policy.
Information Gathering and Usage
- When you register for RelayPatrol we ask for information such as your name and contact information.
- RelayPatrol uses collected information for the following general purposes: products and services provision, identification and authentication, services improvement, contact, and research.
Cookies
- A cookie is a small amount of data, which often includes an anonymous unique identifier, that is sent to your browser from a web site’s computers and stored on your computer's hard drive.
- Cookies are required to use the RelayPatrol service.
- We use cookies to record current session information, but do not use permanent cookies. You are required to re-login to your RelayPatrol account after a certain period of time has elapsed to protect you against others accidentally accessing your account contents.
Data Storage
RelayPatrol uses third party vendors and hosting partners to provide the necessary hardware, software, networking, storage, and related technology required to run RelayPatrol. Although RelayPatrol owns the code, databases, and all rights to the RelayPatrol application, you retain all rights to your data.
Disclosure
RelayPatrol may disclose personally identifiable information under special circumstances, such as to comply with subpoenas or when your actions violate the Terms of Service.
Changes
RelayPatrol may periodically update this policy. We will notify you about significant changes in the way we treat personal information by sending a notice to the primary email address specified in your RelayPatrol primary account holder account or by placing a prominent notice on our site. Such notice will be given at least 3 days in advance of the date the new policy will be applied.
Privacy Policy:
- When signing up for an RelayPatrol Service, we will collect Personal Information from the Client in relation to the Service they sign up for. Such Personal Information will be captured and stored to our Database which resides in the Republic of South Africa.
- During our ongoing relationship with the Client, RelayPatrol may collect and update further details of the Client which will then form part of the Personal Information stored by the Client.
- RelayPatrol will never share any Client Information with anyone except in the event where the Client has provided us the necessary permission in relation to a support case or when we are legally required to do so.
- RelayPatrol may use the Clients email address to send monthly newsletters. Such Newsletters are managed and sent from MailChimp which is a 3rd party Supplier to RelayPatrol and will include an unsubscribe link for the Client to unsubscribe in the event where they do not want such notices.
- RelayPatrol will never sell, trade or give your Personal Information to any 3rd party unless we’re legally required to do so.
Information Collected from Emails:
- When someone interacts with RelayPatrol via email that may contain Personal Information, RelayPatrol will only make use of such data in relation to the request by the person. Such data may be shared either to staff members of RelayPatrol or shared to 3rd party Suppliers who may be needed to assist in the original requirement by the person who sent the email. RelayPatrol will never, without your permission, share personal information with anyone outside of the scope of requirement.
Privacy Policy for All Visitors
- When someone either visits the RelayPatrol Website or any other Website or program connected to the RelayPatrol Infrastructure, we collect data of each such a request. Although in most cases not deemed Personal Information, such data may be used to identify an entity with sufficient effort. Data that we collect includes:
- The IP Address and Hostname from which the connection was made.
- Browser information and type of device that was used to connect.
- Date and time of the connection.
- What pages / content you were attempting to request, including the full URL and any parameters that may have been sent along or POSTED to the request.
Security of Data
- Although RelayPatrol makes use of all reasonable measures to protect the data of our Clients and visitors, RelayPatrol cannot be held liable for any damages or loss sustained by a user where their data was either intentionally or accidentally released by an RelayPatrol Employee or 3rd party.
